For our Project Management Office organization based at our Headquater in Lausanne, we are looking for a

Clinical Project and Resource Planning Manager

In this role, you will drive the Resource Planning process for Ramp;D projects and ensure an efficient delivery of strategic resource capacity reporting. Parallel to this role, you support PMO activities including timelines templates, budget, reporting and provide Project management support for at least one Ramp;D project.

Your responsibilities will be but not limited to:

Ressources planner

  • Drive the Ramp;D Projects Resource Planning process
  • Work with Line Function Managers, Global Program Heads, Global Project Leaders, and Project Team Members to identify and assemble resources needs on Ramp;D Projects
  • Liaise with Line Function Managers and Human Resource department to maintain up-to-date resource capacity database
  • Responsible for the company timesheet process (Orotimesheet) and reporting
  • Build and delivers strategic capacity planning reports for different stakeholders such as but not limited to: PMO, Line Function Managers, Leadership Team and Project Teams
  • Proactively identifies resource bottlenecks and raises alerts
  • Ensure data consistency and resolve issues with the Team Member and/or the Line Function Heads
  • Establishes and maintains a company validated Resource Planning process guidelines
  • Identifies and proposes improvement on the Resource Planning process, tools, and reporting
  • Liaise with the Global Project Leaders or Global Project Managers to ensure adequate resources allocations in MS Project plans and maintain up to date the Resource Planning Portal and Enterprise MS Project Resource Sheets
  • Support further resources tool development as needed. Eg, nominative resources planning and development of a resources template Masterfile to be used as a reference.

PMO activities

  • Work closely with the Global Program Head(s) and Global Project leaders (GPLs) to support with the strategy implementation and operational execution of the program including planning, execution, and out-licensing activities coordination. Report on projects progress and deliverables.
  • Prepare and manage the effective coordination and facilitation of cross-functional team meetings from a program management perspective. Ensure team meetings have prepared agendas, allot adequate time for presenters to prepare, and complete timely composition and issuance of meeting summaries/minutes.
  • Develop and manage global, integrated cross-functional plans by:
    • Identifying key deliverables for each function
    • Understanding and outlining inter-dependencies
    • Ensuring cross-functional alignment and accountability
    • Coordinating project level budget/forecasting and managing project procurement activities
    • Monitoring progress and adherence to timelines
    • Identifying project risk and issues and facilitating resolution
    • Support the project resource planning to assure that adequate resources are allocated to the program
  • Actively establish and maintain a close partnership with the Clinical Study teams and program extended teams to ensure alignment and overall program execution
  • Assure that functional deliverables are completed on time, on budget and according to quality standards; you take a hands-on approach if required to support the various teams
  • Prepare and present monthly reporting to team and stakeholders to show progress, results; anticipate risks and provide recommendations and solutions
  • Maintain a documentation and tracker on program changes and decisions impacting the program execution are assessed in regard to timelines, budgets, resources and documentat
