Job Description

Everything is growing rapidly at Smallpdf, including our office space. As Covid measures relax and our team starts coming back to the officewe want to accommodate them with the best working conditions to be at their best.

The Office Manager will play a varied role in ensuring a smooth, day-to-day running of our headquarters in Zurich. Your mission will be to establish and maintain the perfect environment for our employees to excel in what matters most: making PDF easy for our 40+ million happy monthly users.

On top of having the natural ability to solve anything that might come your way, you'll also be that reliable support person for the entire organization.


Responsibilities
  • Office Management
    • Ownership of the office amenity; establish and maintain a professional and welcoming work environment.
    • Manage day-to-day office needs (ordering drinks, office supplies, food ordering, deliveries, etc.).
    • Constantly improve the working environmentit's the little details that make people feel at ease.
    • Become the go-to person for any office-related inquiries, internally and externally.
    • Oversee maintenance and repair needs.
    • Support the coordination amp; decoration of new office expansions.
  • Events amp; Travel
    • Travel: assist with flight and accommodation bookings.
    • Company events: assist with logistics and support.
  • Administrative Support
    • Support the Smallpdf Employee Experience: special occasions such as birthdays, anniversaries, onboarding, relocations (send welcome packages, gifts, organize lunch/brunch, etc.)
    • Record office expenses and maintain a set budget.
    • Assist the Finance team with monthly expense reporting.
  • COVID-19 Policy Management
    • Ensure that everyone abides by office rules to enable a safe work environment.
    • Manage necessities such as disinfectant and cleaning supplies; facilitate the internal testing process.

Requirements

  • Previous experience working as an office manager/receptionist/events manager or similar position within a fast-paced environment.
  • A positive, can-do attitude with the ability to think creatively.
  • You're a team player with a people-centric approach.
  • You are exceedingly well-organized, detail-oriented, flexible, and self-sufficient.
  • You're proactive and can anticipate problems before they happen.
  • You have excellent verbal and written communication skills, as well as strong critical thinking and decision-making skills.
  • Fluent in English and at least B2 German
