Responsibilities

  • Manage reception desk and ensure the smooth running of the office on a day-to-day basis and be the first point of contact for internal and external stakeholders
  • Provide management and team with administrative and organisational support
  • Book and prepare meeting rooms for both internal and external meetings and interviews, keeping them tidy and stocked
  • Responsible for in-going and out-going mail handling, answer, screen, and forward emails and incoming phone calls, and schedule telephone and Zoom calls for the team
  • Support in agenda and travel management, and organise company events and conferences
  • Work closely with IT and Marketing to inventory and order employee workstation infrastructure as well as business cards, marketing and event materials, etc.
  • Responsibility for access, badge and key management and conducting security trainings
  • Keep an inventory of office and kitchen materials, and order as needed
  • Liaise with cleaning company, repair teams, and inspections, as needed regarding the upkeep of the office
  • Carry out other duties and miscellaneous tasks, as needed

Requirements

  • Accomplished commercial apprenticeship or similar
  • Further training as Eidg. Direktionsassistentin is a plus
  • Several years of work experience in a similar role, project management experience advantageous
  • Excellent written and verbal communication skills in German and English
  • Proficient knowledge of MS Office and a very good IT skills
  • Precise and efficient work style with high quality standards
  • Attention to detail and good problem-solving skills
  • High degree of independence and able to see the big picture
  • Good interpersonal and time management skills
  • Empathetic team player with a positive mind-set
